Job Title : Lease Administrator (in Corporate Real Estate Division)
We are seeking a smart, innovative, and solution oriented individual to join our Client in their Bay Area offices located in San Rafael and San Francisco to perform the administration of a portfolio of leased and owned properties, primarily in the Americas, with some administration of international locations.
Administration of leases, amendments, abstracts and terms for accuracy and ensuring Autodesk compliance with those terms.
Maintain a global database of properties ensuring all data is accurately abstracted, and ensuring all documents are stored both electronically and in hard copy format for quick and complete access.
Abstract lease documents into an enterprise, cloud-based lease management system.
Verify and evaluate invoices for compliance to lease terms, working with Landlords to reconcile charges, credits, errors and disputes.
Conduct operating expense reconciliation reviews, perform desk audits of leases and identify potential properties for full lease audits.
Generate monthly rent and variable expense reports, route for approvals and work with A/P for timely payments.
Issue monthly reports to the Real Estate and Facilities teams as well as other inside Client departments such as Legal, Finance, HR, Risk Management.
Develop and produce ad hoc portfolio reports as required.
Work with Client Real Estate Portfolio Managers to obtain necessary documents related to new and existing transactions.
Work regularly with our Finance business partner to provide portfolio information and reporting for annual budgeting and monthly property operations.
Interface with and respond to requests from internal organizations such as Finance, HR, Risk, Legal to ensure lease compliance and fulfill compliance reporting.
Partner with field Facilities teams to obtain information and fulfill requests related to leases.
Maintain good relationship with Landlords regarding lease compliance and rent payments.
Lease administrative duties including receiving, scanning and inputting invoices, creation of lease files, filing correspondence and lease documentation, hard copy and electronic file storage.
Obtain lease translations for foreign leases from third party vendor.
Assist in developing standard lease administration procedures.
Assist Manager and the Real Estate team on special projects as needed.
Bachelor's degree from a four-year college or university with emphasis on Business, Accounting, Finance or Real Estate preferred.
5+ years' experience administering leases with the ability to comprehend and interpret complex lease documents.
Knowledge of new FASB/IASB lease accounting standards
Deep experience with one or more industry standard lease administration databases
A passion for data integrity and accuracy, attention to detail and strong organizational skills
Strong oral and written communication and customer service skills
Ability to problem solve and bring innovative ideas
Experience working in a fast-paced deadline-driven environment
Able to establish and foster good relationships
Ability to respond to requests in a timely manner
Must possess good interpersonal and team skills
Proficiency with MS Office, especially Excel
