Position Information

Job Summary

The office assistant will assist the managers of the office, specifically the Reservations Manager and Operations Manager.

Responsibilities

The office assistant will act as the front line to the office, answering all phone lines, responding to client e-mails, and assisting with clients’ requests. In assisting the Reservations Manager, you will need to demonstrate a great deal of technical knowledge with the university’s campus-wide rooming software, EMS, as you will be sending clients confirmations e-mails for their requests, as well as assisting clients in finding appropriate space for their events/meetings. In assisting the Operations Manager, you will be preparing the day-to-day operations packets and ensuring all event diagrams are in order. This position requires interaction with colleagues on every level University-wide, and with internal and external vendors. It is imperative that you be able to work under pressure, multitask, and be a team player.

Salary Range: $14

Hours per week: 10-20

Schedule Preference: Must be available for 20-25 hours between 8:30am-5pm Monday-Friday.

Minimum Qualifications: Seeking friendly, energetic responsible student with the ability to interact effectively, multitask, and provide excellent customer service. Proficient in MS Office for both MAC and PC. Excellent written and verbal communication skills are required. Basic knowledge of administrative tasks required. Must be comfortable moving and setting up (sometimes heavy) furniture. Knowledge of audio/visual equipment highly recommended. Previous professional and customer service experience preferred, especially in the hospitality industry. Must be able to multi-task and work under pressure.
