Position Responsibilities and Duties:
Act as primary administrator for background screening program which includes reviewing/monitoring results for errors and red flags; following up with HR Partners and Corporate HR Manager regarding necessary actions; communicating/following up with vendor regarding issues and proactive changes; preparing and training users, setting up location/division access
Oversee Affirmative Action Plan required updates and communications
Oversee, manage, and actively participate in Company's I-9 self-audit process, as well as assist in preparation of I-9s during DHS/ICE audits
Direct HR Services in managing file archives, storage, and record purging processes per required retention policy
Review and manage Client Mandated background and drug/alcohol screening, badging requirements to ensure we can adhere to the client's requirements while maintaining Company policies and employment law compliance, review recommendations with Corporate HR Manager, and provide guidance to field HR
Assist Corporate HR Manager with recommending modifications to Company Substance Abuse Prevention policy and testing procedures to ensure legal compliance and business needs/expectations are met
Fulfill role of backup Substance Abuse communicator for all divisions as necessary
Back up and assist with employee relations issues and terminations as well as assist with preparation of disciplinary memorandums, as needed
Act as primary point of contact and administrator of Company's E-verify program (within and outside of Workday) which includes setting up and deactivating user access, assisting with technical and user issues by working through issues with E-verify agency
Maintain LinkedIn, Glassdoor, and Company jobs email accounts, including responding to or triaging reviews, inquires etc.
Prepare offer letters and conduct new hire onboarding paperwork and orientation program, as needed
Conduct new hire orientations including schedule first day/week of orientation activities for San Francisco based employees
Participate in termination meetings as needed
Triage general employee inquiries by directing them to appropriate Field HR, Benefits or Payroll teams
Actively participate in training programs for new HR team members to ensure knowledge transfer of procedures, protocols, WD business processes, etc.
Assist Corporate HR Partner with immigration program administration including preparing visa filings and other immigration needs (US and out of Country)
Stay abreast to current federal, state and case law changes and monitor labor law updates for changes that affect HR, and notify Corporate HR Manager of these changes
Manage and successfully execute all annual EEO-1, VET 4212, and other government and industry specific survey/reporting requirements in a timely and accurate manner
Oversee annual OFCCP self-reporting process, provide assistance
Drive recurring Companywide EEO/OFCCP Self ID campaign every 5 years
Recommend new approaches, policies, and procedures for continual improvements in efficiency of department and services performed
Review and recommend updated to Company HR Policy Manual and Employee Handbook
Review subpoena responses prior to release to requesting party
Oversee Preferred Drivers Program in conjunction with Fleet Safety Program by checking in with HR Assistant who administers program
Oversee HR Operation's SwinNet content
Assist with system records' corrections, maintenance and integration issues while communicating corrections to Corporate HR Manager and Benefits Manager
Respond to historical data requests from Field HR and management for which they do not have visibility to (including E1 data and physical records)
Draft or revise Job Profiles, job descriptions, job families, and titles for review/approval by Corporate HR Manger and CHRO (enter in Workday as needed)
Assist in system records corrections maintenance and integration issues within Workday while communicating corrections to Corporate HR Manager, Benefits Manager, and Sr. Workday System Analyst
Monitor various employee data (as directed) in Workday for errors, red flags, incomplete data, non-compliance data (outside of Company policy parameters) and data integrity issues; and work with Field HR, Corporate HR Manager, Benefits Manager, Sr. Workday System Analyst to determine appropriate course of action and see it through correction/completion
Monitor incomplete I-9 processes within Workday and follow up with Field HR for completion
Monitor unauthorized E-verify results in Workday and follow up with Field HR for appropriate next step actions
Back up Corporate HR Partner on all functions, as needed
Back up HR Operation team members and Field HR, as needed
Assist with general HR Operation tasks such as filing, data entry, and scheduling meetings
Complete special projects as assigned by department management
Complete other responsibilities as assigned
Minimum Skills or Experience Requirements:
High School Diploma or equivalent
AA degree or equivalent training or experience; college degree preferred
3-5 years of HR generalist experience
Proficiency with MS Office and HRIS systems
Prior payroll, accounting or HRIS experience a plus
Strong data entry skills

Working knowledge of general office procedures and office machines
