Description Administrative Assistant: Provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties. Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Assignments may be found in various functional areas.

First Year Goals

  1. Support the administrative needs of three VPs. Manages schedules, take, screen and direct phone calls, make travel arrangements, do expense reports. Keep track of invoices, billings and other aspects of the interactive game studio and product management team . In addition to supporting two directors, Also supports senior executives and VPs when they visit the office

  2. Support office management needs and other administrative support: On-boarding of staff, assist in special projects such as purchase of equipment needed to support game development. Assist with planning of all hands meetings by supplying necessary equipment, phones and presentation materials. Support office events and tradeshow coordination.

  3. Support Site Manager in office facility work: Support management of outside vendors, maintain contracts for such vendors required for office upkeep. Be a key contact for building management. Support building management in fire, safety, earthquake and other drills.

Required Qualifications

BA: College Degree

3 to 5 years experience, providing administrative positions to company executives or VPs

Proficient in SAP systems, and familiar with billing & invoicing procedures

Proficient in Excel, Powerpoint

Ability to multi-task and set priorities

Be able to trouble-shoot and find answers regarding company policies and procedures

Ability to work overtime as required

Preferred Qualifications

Must have been an administrative assistant experience to more than one Executive.

Office management experience required.
