Position Information

Job Summary

The Assistant Director of Service Operations is a live-in position primarily charged with overseeing the residence hall front desk operations, supervision of front desk staff, as well as the effective management of the residential facilities, operations, and seasonal staff associated with Summer Guest Housing (SGH) for the Office of Student Housing and Residential Education (SHaRE) in the Division of Student Life.

As a member of the larger staff in Student Life, the Assistant Director of Service Operations collaborates and cooperates to create leadership and intercultural competence opportunities to support student learning and development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.


I. Supervision of Staff A. Recruits, selects, trains, supervises, and conducts regular performance evaluation of the SHaRE residence hall front desk staff and the Summer Guest Housing staff. B. Serves as co-chair for SHaRE student staff selection committee. C. Directly supervises graduate level Resident Office Managers who oversee the academic-year desk operations. D. Defines the residence hall front desk operational duties of the Residence Directors, Residential Office Managers, and Community Office Managers. This includes all appropriate training, support and development. Works with hall staff to facilitate the integration of the desk staff into the operation of the residence halls. E. Conducts regular meetings with the Residential Office Managers and Community Office Managers. F. Provides performance feedback on the Desk Operations Interns for their annual evaluation.

II. Operations A. Manages all aspects of Residence Hall Front Desk operations, ensuring administration of SHaRE customer service training and standards. B. Participates in the coordination of check-in and checkout of residents throughout the year. C. Develops and manages budgets for front desk operations and summer guest housing staff. D. Maintains high visibility and availability to residential staff. E. Develops and manages budget for front desk operations and summer guest housing staffing. F. Establishes appropriate safety precautions and emergency training for staff (including dissemination of information, maintaining student awareness of emergency procedures, and coordinating other activities pertinent to hall safety). G. Management of the StarRez employment database, which includes: 1. Creating student applications. 2. Generating reports and lists to facilitate the student staff selection process. 3. Ensuring timely database updates. 4. Troubleshooting employment portal errors. H. Summer Guest Housing i. Facilitation of collaborative relationships between Housekeeping, Facilities Management, Event Management and Guest Services, Dining Services, Linen Service provider, academic programs and other University departments. ii. Oversees the summer school housing front desk operations. 1. Works collaboratively with the Housing Assignments Coordinators to ensure all student assignments and changes are being communicated to the Summer Guest Housing staff. iii. Supports Summer Guest Housing staff in anticipating student and guest group arrivals, departures, and needs. iv. Ensures guest-friendly atmosphere and quality customer service delivery by staff. v. Develops and maintains conference linen inventory system. vi. In collaboration with SHaRE’s Housing Assignments Coordinators, coordinate information and procedures for accommodating early arrival check-ins for the academic year. vii. Organizes walk-throughs of all Summer Guest Housing buildings at the end of the summer to verify that buildings are ready for fall opening and that all linen was removed from the buildings. viii. Acts as first responder for all Summer Guest Housing issues. I. Facilities work order tracking i. Develops and manages database of work orders submitted within each residential facility ii. Works with facilities staff to ensure timely completion of work orders iii. Informs students of work order status and any pending work projects taking place within residential facilities or in student rooms. J. Attends regular SHaRE department meetings and Central Office meetings. K. Attends regular meetings with the Associate Director of Service Operations & Facilities. L. Other duties as assigned.

III. Professional Relationships A. Serves in a 24/7 on-call rotation. B. Works collaboratively with Facilities Management maintenance and custodial supervisors to provide clean and well-maintained facilities. C. Develops and maintains relationships with faculty, staff and administration at the University, with special attention paid to Business and Finance, ITS, Admission, ROTC, Learning Communities, Athletics, One Card, Disability Services, ISSS, Student Accounts and JEEP. D. Serves on selected department and University committees. E. Attends and as appropriate presents at student affairs related conferences, workshops and retreats in order to develop new skills and experience.


Master’s degree required. Student and/or conference housing and staff supervision experience required. Evidence of the ability to provide excellent customer service and problem-solving skills. StarRez and CS Gold experience preferred. Strong oral and written communication skills. Ability to act independently, use independent judgment and multi-task in a busy and high traffic environment. Evidence of ability to work within a cooperative and collaborative environment. Ability to work some weekend and evening hours.
