Robert Half Office Team Administrative Assistant in San Francisco, California

Robert Half is seeking an Administrative Assistant for a publicly- traded lending firm in San Francisco. This is a contract to hire position, with a 4-month probationary period prior to conversion. *Please note: this is an immediate need, so please do not apply if you are not readily available. The Administrative Assistant will be responsible for: 1. Daily Duties: ensure the office space is ready for the day

  • Make coffee upon arrival if not made, ensure reception area and kitchen is ready

  • Deliver newspapers and mail to appropriate employee

  • Monitor conference room calendar and visitor log for any updates

  • Check paper/toner levels for all printers; restock copier/printer supplies as needed

  • Clean stock break room/ kitchen supplies; run dishwasher and put away dishes as needed

  • Ensure that doors are closed and secure throughout the day

  • Cleanup and organize production room/check if inventory is low

  • Prepare/clean up conference room before/after meetings 2. Weekly Duties

  • Supply inventory – once a week at minimum, order supplies as needed

  • Collect receipts, prepare and submit expense reports on a weekly basis 3. Basic Duties

  • Answer incoming calls to the main line

  • Answer client/customer calls as needed to assist other admins

  • Shipping and receiving as needed; UPS, USPS, FedEx

  • Register all visitors/guests with building security

  • Point of contact for all vendors

  • Update floor plan/phone lists as needed

  • Assist with marketing materials, sales presentations, and book binding

  • Office Coordination for when clients are on site

  • Issue/ Maintain guest badges log

  • Order business cards, marketing materials and office supplies

  • Act as a liaison between company, building management and external vendors for maintenance/technical/facility issues and place work orders as needed

  • Keep Kitchen and production room organized, clean, and tidy
